Cover Sheet Generation Software Solution
When indexing numerous documents at a single time, scanning and indexing can seem confusing, or may require more care to keep sensitive scanned documents from the view of others. To accommodate these and other concerns, the e-file software add in for ImagEze allows for a safe method when scanning and indexing documents, and allows a user to index before scanning!
e-file is a module that works with e-index to allow users to generate a cover sheet for a particular document, using the index values of the document as defined within the e-index application. By simply accessing the e-index application as normal, the user clicks on an icon which starts the Cover Sheet Creation process.
When using the e-file application, a new window opens, which presents the available index fields and options for the profile selected. The index fields and types as defined for that profile are displayed in an easy to use interface. All of the users simply enter in the necessary information where indicated by using the text fields, drop down menus, or other types, and clicking Print when completed.
A Print Preview window is presented, showing the new Cover Sheet, which contains the Profile name, Index field names and their respective values as entered, and an intelligent bar code for that document. The user will then see a Printer selection window that allows them to send this cover sheet to local or network printers which are available for printing this cover sheet. The user then selects the printer they wish to use, and prints the cover page.
After creating the printed cover sheet, the user places the cover sheet as the first page of the document to be scanned, and scans the document as usual for that document profile. The e-file application will search for the bar code on the cover sheet, retrieve the index information which was entered into the database for that document, and will automatically save the document and index values to the repository for retrieval. This saves time, eliminates any further indexing tasks, and expedites the process from scan to retrieve.
